For Australian teams

A website still needs attention after launch: updates to assess, enquiries to check and small faults to fix. We help Australian teams organise that work around what the business relies on, with clear limits on routine care and agreed support arrangements.

## Know what you are maintaining

A website can depend on hosting, a domain, plugins, forms, payment services and editor accounts held by different people. We start by putting those pieces together: which sites you have, what each one does and who can help when something needs changing.

You do not need a perfect inventory before talking to us. A site list, the names of your current suppliers and a few known concerns give us somewhere to start. For an Australian team working remotely with a developer, knowing who controls the domain or receives an enquiry can save a lot of back-and-forth when a fault appears.

## Create a prioritised maintenance scope

An initial review can cover backups, installed dependencies, licences, form destinations, integrations and how changes reach the live site. We separate faults that need attention from ordinary upkeep and requests for new features. If a fix depends on a hosting provider or another supplier, the plan should say so.

Priority follows what the site does for your business. For example, an enquiry going to an unattended mailbox may matter more than a visual fault on an old information page. We can help you weigh those findings against the available budget, then agree which tasks and checks belong in the next maintenance cycle.

## Keep changes controlled

Before a release, we agree where changes can be tested and how the affected site can be recovered if something goes wrong. Someone on your team needs authority to approve the change. For an agency, that may mean arranging client sign-off before work reaches the live site.

The checks should follow the change. If a form is updated, a controlled test enquiry should be checked at its destination, not just for a success message on screen. We keep a concise account of the work, the checks and anything still unresolved, which can fit into your agency’s client reporting.

Monitoring, incident response and emergency availability need their own agreement. A development allowance does not automatically provide them. We confirm support windows and escalation arrangements, including whether you need coverage throughout Australian local working hours.

## Use the review to choose the next engagement

Some sites need a clean-up project before routine upkeep makes sense. Others need a separate [PHP workstream](https://webvelopment.co.za/au/outsourcing/outsourced-php-development/) or a more substantial [website project](https://webvelopment.co.za/au/services/websites/). We can use the review to explain which work belongs together and which needs a separate budget.

[Share your site list and known concerns](https://webvelopment.co.za/au/contact/). Include the tasks your team struggles with and any faults you can reproduce; a short description of what happened and where is more useful than a general request to “check everything”.

## Agree a maintainable estate record

The estate record is a practical inventory of your websites and their dependencies. For each site, include its purpose, business contact, account owners and known incidents. Add forms, payment or sales connections and licences that need renewal. Where another supplier controls access, we record that dependency rather than assume an account can be transferred immediately.

The first deliverable can bring that inventory together with a list of risks and a maintenance plan. It should distinguish a confirmed fault from something still needing investigation. For example, an unknown backup arrangement is a question to resolve; it is not evidence that no backup exists. Your team can then choose priorities with a clearer picture of what is known and what work is ready to start.

## Make the first maintenance cycle inspectable

Choose a small set of representative tasks and agree how to check them. A form change might need a test enquiry to reach the right person. A change to an editing screen might need an editor to complete their usual task. These are examples; the checks should match your site and the work being done.

A useful report lets you follow the result without reading a long technical conversation. It should name the change, explain the check and result, and flag anything that needs your attention. If a test could not be completed because a supplier account was unavailable, say that plainly. Passing one check should not imply that every connected service has been reviewed.

## Keep upkeep distinct from expansion

Small requests can carry quite different amounts of work. Replacing a contact address is different from adding a new enquiry workflow with routing rules. We agree which content edits and minor fixes fall within maintenance, and discuss new features, larger repairs or major upgrades separately before they consume the allowance.

Keep the monitoring and escalation contacts alongside the maintenance record, including any local coverage you require. As work is completed, update the outstanding-item list and relevant account or licence details. If the platform cannot support a necessary change, assess replacement as its own project so you can see the cost and disruption involved.

## Make the first maintenance report explain its boundaries

For each item, the report should answer a few practical questions: what changed, where was it checked, what happened and what remains? Include the recovery route and who authorises live changes, so the next person handling the site can follow the arrangement.

Specific descriptions help here. “Test enquiry received at the agreed address” tells you more than “forms checked”. If only one form was tested, name it. Requested features, major upgrades and unsupported dependencies should appear as decisions for further work, with enough explanation for your team to choose a next step.

## Questions to help you choose this approach

A few useful answers before you decide.

### What should the initial site inventory contain?

List each site’s purpose, hosting, account owners, dependencies and important visitor tasks, such as making an enquiry or completing a purchase. Add known faults and the business contact for each site. Include who controls recovery and renewals, so the inventory helps someone act when work is needed.

### Can routine updates begin before recovery is understood?

We need to assess that before making changes. The plan should identify what can be restored, who can restore it and what access they need. Clarifying the backup or recovery arrangement may be the first piece of work, particularly for a service the business relies on.

### Does maintenance include editing all website content?

Only if content work is included in the scope. Agree which changes your editors handle and which come to us—for example, whether replacing supplied text is covered. Your team still needs to approve new business claims, and a larger content rewrite needs its own allowance.

### How are findings prioritised across several sites?

We look at business importance, the consequence of leaving an issue unresolved and what is needed to tackle it. Your nominated contact approves the priorities. A fault blocking enquiries may come ahead of a cosmetic issue, while a supplier dependency may need resolving before a particular fix can begin.

### What does a maintenance report prove?

It shows the tasks and checks actually completed, their results and any limits. It should make clear whether an item is a confirmed issue or still needs investigation. Checking an enquiry form, for example, does not establish that every form or connected sales process has been reviewed.

### How should an agency manage client maintenance approvals?

Tell us who can approve work for each client’s site and which changes need the client’s sign-off. Consolidating those decisions through the agency keeps instructions clear. Development access alone does not give us permission to change a live client service.

### What happens when a request becomes a new project?

We explain the extra investigation, work and checks it needs, then ask your nominated contact to approve a separate or revised scope. That gives you a choice about the budget and timing while keeping the remaining routine upkeep visible.

### How can we transfer the estate later?

Keep source, account and licence records current throughout the engagement. At handover, review those records alongside open tasks and the people responsible for ongoing operations. Access should move through authorised routes, with enough context for the next team to pick up the work.
