Industry perspective

Help buyers find the right product information and give your team enough detail to respond. We start with a real request, follow it through sales and operations, and use that to plan the catalogue, form or software you need.

## Connect the catalogue to the commercial conversation

A procurement buyer may arrive with a product code. A technical buyer may know the application but need help choosing a specification. A distributor wants to understand the range and the opportunity to represent it. Your website needs to help each person reach the right conversation.

We can help you plan that route, from finding a product to sending a useful enquiry or passing a request into an internal workflow. The first project might be a clearer catalogue, a separate distributor route or a way to reduce repeated spreadsheet entry. Start by showing us the request your team finds difficult to handle today.

## Make the product range understandable

A useful catalogue explains product families, applications, options and specifications in terms buyers recognise. Give someone enough information to narrow their choice, then show where technical confirmation is needed. Your product team remains responsible for approved specifications, availability and suitability statements.

We can scope product page models, document libraries and quote-request forms around that information. Choose a few representative products before organising the whole range: a straightforward item, one with several options and one that needs a conversation. This helps reveal whether the same page structure works for all three.

A configuration tool needs clear rules and dependable source data. We would first check how a selection is made, which combinations require review and who maintains those rules when the range changes.

## Bring operations into the brief

Marketing and production may use different names for the same product. Sales may need details that never appear on the website. Bring those differences into the discussion early, so the person receiving an enquiry can recognise what the buyer requested.

A project can include:

- Product data structure and responsibility for keeping it current.

- Enquiry forms asking for the details needed to prepare a quotation.

- Distributor recruitment and qualification routes.

- Authorised connections to inventory, order or CRM systems.

- Internal software for a defined workflow.

- A staged migration and operating handover.

Before we estimate an integration, we need to understand the available access, documentation and data ownership. For example, if the website and sales system use different product references, agree how they relate and what happens when a reference cannot be matched. That decision affects both the connection and the work someone must do when it needs attention.

## Measure what the process actually records

A product enquiry, an issued quotation and a confirmed order tell you different things. Agree which stages your team can keep current and where they are recorded. If sales records quotations but not the reason an enquiry stopped, the review should acknowledge that gap rather than assign a result to the website.

Catalogue size and visitor numbers can describe activity. To understand the commercial handover, also look at whether requests contain usable details and reach the right person.

## Trace a product request into the quotation process

As an illustrative exercise, choose one product family and follow a request from its public page to technical review and quotation. Suppose a buyer selects a product but leaves out a required dimension. Can they still submit a request for help? Who asks for the missing detail, and how does sales know that technical review is still outstanding?

Walk through a complete request as well. Compare what the buyer sends with what the quotation team actually needs. A product reference, quantity or approved drawing may already supply some of the context; ask for additional information only where it helps the receiving team act.

This example does not describe a particular factory or sales result. It gives us a practical way to identify whether the first phase should focus on the catalogue, an integration or an internal application.

## Follow a customer request through the operating handover

Bring a drawing or specification that can be shared safely, identify who reviews the request commercially, and show which system holds the approved quote or job record. Keep restricted production information separate from public product content.

Then check a handover that does not go to plan. If a buyer sends a revised drawing after a quote has been prepared, who checks it and tells the next person which version to use? Agree how that change will be visible before deciding what to automate. The handover should leave your team knowing where to find the record, who can update it and who deals with unresolved requests.

## Manufacturing project questions

A few useful answers before you decide.

### Who should define the product content model?

Bring together people who know the products, sell them and handle the resulting work. Customers may search by application while production uses internal codes. We can help structure those views, but your team must verify the technical attributes. Try the proposed structure with representative products and awkward exceptions before extending it across the catalogue.

### Does the website need a quotation tool?

Start with the information and decisions needed to prepare a useful quote. If technical or commercial review is essential, a well-structured request may give the buyer a clearer next step. Where automated pricing is justified, agree which decisions the tool can make, when it must stop for review and who maintains the pricing rules.

### How are obsolete product documents handled?

Give someone responsibility for approving, revising and withdrawing them. Check the pages and campaigns that link to a document when its specification changes; an updated library alone may leave an old link in circulation. The handover needs to explain this maintenance process as well as how to upload a file or change a category.

### Can distributor enquiries share the customer form?

We would first check who receives each type of request and what they need to decide. A distributor enquiry may need its own route because it starts a different commercial relationship. Explain the opportunity and ask for proportionate context. Submitting that form does not verify capability or appoint a distributor; your team still carries out due diligence and makes the commercial decision.

### What connects a website project to operational software?

Follow the information your staff use after a request arrives. If they copy quotation details into another system or reconcile conflicting records, show us that task and the exceptions they handle. We can scope an integration or application once the responsibilities and rules are clear. Resolve those questions before introducing another place to maintain the same information.

### What should be reviewed after launch?

Check whether the responsible team receives enough information to respond, whether product content stays current and where handovers need correction. Review enquiries, quotations and orders separately wherever your business records those stages. Agree who owns maintenance and how further development is requested, so unresolved work has somewhere to go after the initial build.
