Connecting Paid Media, Landing Pages and CRM Data
Your campaign report and receiving team may count different things. We start by tracing one enquiry from the advertisement through the landing page to the qualification decision.
Define the conversion before optimising for it
A click, completed form, accepted enquiry and sale are different stages. Before comparing campaign performance, agree which stage answers your question. A submission count tells you something about people completing the form; an accepted-enquiry count depends on the receiving team’s assessment too. Calling both a “conversion” hides that difference.
We would start with one offer and trace the visitor’s steps from advertisement to receiving team. Write down what each stage means, which record shows it happened and who can explain a gap. Include duplicates and enquiries outside the service’s scope: they still need a place in the comparison, even if they do not become accepted leads.
Match the landing page to the visitor’s intent
The landing page should carry through the offer that prompted the click and make the next action clear. Check the advertisement and page together: would someone understand what they are enquiring about and what information they need to provide?
Give each form field a receiving purpose. For an illustrative enquiry form, service interest may help the team understand the request, while a contact route lets them respond. Sensitive financial details can wait for a controlled later step. Ask the business to approve what is needed now and what can wait, rather than adding fields because they might be useful eventually.
Prepopulation can reduce repeated entry where appropriate. It should not expose confidential information in a URL or treat untrusted query data as authoritative.
Reconcile capture and receiving records
A browser success event is not proof that the receiving system stored the enquiry. Keep successful capture and downstream delivery distinct, using stable references where the implementation supports them. Retries should preserve the enquiry without creating repeated receiving records.
For example, suppose a visitor submits the form and sees a success message, but the enquiry has not reached the CRM. The campaign may show a submission while the receiving team has nothing to assess. Check the capture and delivery records before calling this a poor-quality lead. If delivery is retried, check whether the resulting CRM record belongs to that same enquiry before counting it again.
Qualification adds another decision. Agree who marks an enquiry accepted, what that status means, when the assessment happens and how corrections are handled. Otherwise, a change in how staff classify enquiries can look like a change in campaign relevance.
State attribution limits
Consent, cross-device journeys, delayed decisions and platform definitions can all limit attribution. Keep the available evidence clear and avoid promising perfect matching between every advertising event and later revenue.
For a practical review, bring an anonymised sample of receiving records, the relevant campaign events and the agreed stage definitions. Follow the sample through capture, delivery and qualification. Separate a missing record from a duplicate or an enquiry awaiting assessment; each points to a different question. Investigate those mismatches before declaring a conversion improvement or attaching a financial outcome to it.
Apply this to your project
Bring one campaign, its landing page and an explanation of how the receiving team handles enquiries. We can use that starting point to discuss where the counts diverge and which handoff needs attention. Explore customer acquisition and the related anonymised project account, or discuss your implementation question.
