Scope & pricing

API Integration Costs & Scope Estimator

Estimate interfaces between WooCommerce, Sage/Pastel, Zoho, ERP, CRMs and third-party APIs. Configure scope and review confirmed labour at R850/hour excl. VAT, with unpriced items identified.

Configure your scope

A labour budget to start the conversation

For an integration budgeting exercise, assume 24 hours for a small one-way workflow with a field map and basic acceptance checks. Edition compatibility, access and recovery requirements still determine the real scope.

24 assumed hours × R850/hour = R20,400 excluding VAT. This is a hypothetical planning allocation, not an approved package or a quote for your project.

Supplier API fees, custom licences, data cleanup, hosting, monitoring and continuing maintenance are additional unless explicitly included. Discovery, build and ongoing operation need their own scope. Changing this allowance does not price the activities below or change an issued estimate.

Build a scope you can discuss.

R850/hour excluding VAT. Unapproved hours and fees require custom quotation. Your selections are indicative.

What changes this estimate

An integration estimate starts with the task you want to stop doing by hand. You might need an order copied from a shop into an accounting system, or customer details sent to a CRM. Tell us which systems are involved, what should move between them and when it needs to arrive. The estimator helps separate the work of investigating access, building the connection, checking the results and keeping it running.

WooCommerce, Sage/Pastel, Zoho, ERP systems, CRMs and third-party APIs are possible environments to investigate. The product name alone does not tell us whether your edition exposes the data or actions the workflow needs.

Describe a representative delivery

Bring one representative record and show us what a correct result would look like in the receiving system. For example, a hypothetical order transfer might need an order number, customer reference and line items mapped into destination fields. Include the source and destination systems, read or write direction, record types and sync frequency, along with the person who can check the result.

Use the first-delivery option to choose a useful starting point, such as one record type moving in one direction. A wider rollout may depend on other systems or require separate checks. Quantities describe activities or units of work; they do not confirm how many hours each unit takes. Selecting a plan does not give the work an approved fixed price.

Define a source-to-destination contract

A pilot should show that a small set of records can move correctly with the available access, including a representative failure. In the order example, what should happen if the destination rejects a customer reference? Agreeing that behaviour helps define both the build and the checks. A production integration also needs retry limits, monitoring, reconciliation and someone responsible for operating it.

Use the mapping worksheet to say which system holds the authoritative value for each field and what the receiving record means. That matters when the same customer or order appears in both systems: a matching name may not be enough to identify the right record.

Record read and write direction explicitly. Two-way synchronisation adds conflict, deletion and duplicate-handling decisions that a one-way export may not need. Documentation quality and authorised sandbox access can change the discovery scope. Names such as Sage, Pastel or Zoho identify possible environments to investigate; they do not establish edition compatibility or a working connector before technical review.

Hours, costs and assumptions

Confirmed labour is calculated at R850 per hour excluding VAT. Each selected quantity is multiplied by an approved hours-per-unit value. Base, discovery and complexity allowances need their own approval. Unapproved items remain Custom quote required and prevent a fixed total; they are never silently priced as zero.

For the hypothetical 24-hour budgeting example, the labour arithmetic is 24 × R850 = R20,400 excluding VAT. Those assumed hours describe a small one-way workflow with a field map and basic acceptance checks; they are not approved unit hours or a fixed package. Edition compatibility, access and recovery requirements still determine the real scope. Supplier API fees, custom licences, data cleanup, hosting, monitoring and continuing maintenance are additional unless explicitly included.

The initial ten-hour website allocation is specific to the existing website calculator. It is not automatically applied to this service. Where managed dedicated hosting is selected, the separately stated management allocation applies to the agreed management scope.

Once-off work and monthly commitments are shown independently. Content writing, SEO, subscriptions, platform usage, travel and other external charges are included only when explicitly approved and itemised. International display currency does not change the authoritative ZAR calculation or establish a tax exemption.

Scope boundaries

  • We need to review current API documentation and access before confirming that a working connection is possible.
  • Bi-directional sync, deduplication and conflict resolution materially add hours. Decide whether updates need to travel both ways before comparing estimates.
  • Third-party subscription charges are separate from our labour.

Use the plan to request an estimate

A few useful answers before you decide.

The tool prepares a dataflow and entity mapping matrix: a description of what moves where and how the records match. Check that it covers your representative task, the systems it depends on and any unresolved amounts before requesting a quotation. This gives us something concrete to discuss, including what can fit into the first delivery. Your contact details stay separate from saved session selections. Payment milestones and quote validity require written confirmation.

Explore the related service or compare the original website calculator. The PDF request becomes available only when the secure quotation backend is configured; the page clearly indicates its current state.

Why does this tool show custom quote required?
Our hourly rate is confirmed, but a selected activity may still need approved unit hours or supplier charges. You can keep that activity in the scope while its cost is reviewed. The tool marks the pending amount and withholds a fixed total; a reviewed proposal establishes those amounts.
Is the result a binding quotation?
No. The scope and any known charges are indicative until reviewed and confirmed in writing. An issued PDF uses server-side calculation and identifies pending items, exclusions, tax treatment and custom payment terms.

Share the scope while you plan

The interactive summary lets you download a text brief or open an email draft for review. The email action does not send an online quotation request. For a fuller handover, attach the downloaded brief and add your preferred contact details in your email app. Private PDF issuance remains conditional on a configured quotation service.
