What changes this estimate

Start with the task you want to automate: what starts it, what should happen next and where someone still needs to make a decision. An automatic notification and a workflow that updates several systems can look similar on a task list, but involve different work. Use this estimator to describe that difference before discussing a price with us.

Keep discovery, implementation, verification and ongoing operation separate. Understanding an existing process takes effort of its own; keeping it running may also involve recurring costs after the initial work is complete.

Describe a representative delivery

Bring one real example of the task, the systems it passes through and the person who can confirm that the result is correct. Include the trigger, workflow steps, branches and approvals. A sample that shows an exception is useful too: what happens when information is missing, a request is rejected or a connected system is unavailable? Record those constraints in the tool. Quantities describe activities or units of work; they do not establish how long each unit takes.

Use the first-delivery option to choose a useful starting task. For example, a hypothetical enquiry workflow might send a notification first, with record updates and approval branches considered separately. For a broader programme, list what each part depends on and how you will check its result. Selecting a plan does not give the underlying work an approved fixed price.

Build the workflow before counting automation effort

List the current process as steps, including the occasions when somebody stops to make a decision. For each proposed automated action, identify what triggers it, which condition selects the next step, where the information goes and when a person takes over. More steps do not always mean more difficulty: an unreliable external dependency can dominate the effort of an otherwise simple workflow.

The worksheet’s step count is a planning indicator, not an approved cost multiplier. A production plan needs recovery, duplicate prevention and audit requirements in addition to the successful path. Platform execution charges remain separate. Where an automated decision could materially affect a person or regulated process, specify the necessary business and specialist review before implementation.

Hours, costs and assumptions

Confirmed labour is calculated at R850 per hour excluding VAT. Each selected quantity is multiplied by an approved hours-per-unit value. Base, discovery and complexity allowances need their own approval. Unapproved items remain Custom quote required and prevent a fixed total; they are never silently priced as zero.

For each activity, multiply the selected quantity by its approved hours, then apply the hourly rate. A notification and an approval branch may need different effort, so they should not silently inherit the same allowance. Until those hours are approved, keep the activity visible as requiring a custom quote. Other labour allowances and charges still need separate review.

The initial ten-hour website allocation is specific to the existing website calculator. It is not automatically applied to this service. Where managed dedicated hosting is selected, the separately stated management allocation applies to the agreed management scope.

Once-off work and monthly commitments are shown independently. Content writing, SEO, subscriptions, platform usage, travel and other external charges are included only when explicitly approved and itemised. International display currency does not change the authoritative ZAR calculation or establish a tax exemption.

Scope boundaries

  • Recurring execution platform charges are not developer labour.
  • External system access may make delivery conditional.
  • Regulated/high-impact automated decisions require additional review.

Use the plan to request an estimate

A few useful answers before you decide.

Use the tool to describe your workflow steps and the complexity of the reviews involved. Before requesting a quotation, check that the selections cover the normal route through the task and the exceptions you need handled. Include any access we would need to connected systems and check which amounts still require a custom quote. Your contact details stay separate from saved session selections. Payment milestones and quote validity require written confirmation.

Explore the related service or compare the original website calculator. The PDF request becomes available only when the secure quotation backend is configured; the page clearly indicates its current state.

Why does this tool show custom quote required?
The R850 hourly rate is confirmed, but a selected activity may still need approved unit hours or supplier charges. You can keep that activity in your scope while its cost is unresolved. The tool identifies the pending items, and a reviewed proposal establishes their amounts before a fixed price can be given.
Is the result a binding quotation?
No. The scope and any known charges are indicative until reviewed and confirmed in writing. An issued PDF uses server-side calculation and identifies pending items, exclusions, tax treatment and custom payment terms.
