## Send the right message at a defined point in the workflow

Before choosing a delivery platform, decide what has happened and what the customer needs to do next. An invitation asks someone to begin a task; an access code helps them sign in. Order updates and marketing follow-ups have different purposes, timing and consent requirements too.

We connect transactional email, one-time PIN journeys, invitations, reminders and CRM-triggered communication to those business events. Channels, providers and available integrations depend on the implementation and authorised access.

## Map triggers and stopping conditions

For each message, identify the event that permits it, how the recipient is selected, the records it needs and what should stop it. Retrying a business event should not automatically produce a second customer message.

For example, an assessment reminder should stop once the assessment is complete. If someone finishes after the reminder is queued, the workflow needs to check completion again before sending, so they are not asked to repeat a task.

Failures need a route too. A rejected message may need a corrected address, a different channel or someone to investigate. We work through who can make that correction and when to resend, rather than retrying indefinitely.

## Keep preferences separate from authentication

Be clear about what each message is for when designing preferences and unsubscribe management. Optional marketing preferences should not silently govern essential access messages, and a transactional label should not disguise promotional content. Your business needs to approve those distinctions and the wording customers will receive.

Authentication codes require their own expiry, retry and abuse controls. The application should not expose them through analytics, URLs or routine diagnostic logs. A messaging workflow is part of the access journey; it does not replace application authorisation.

## Observe delivery and business completion

Delivery monitoring can show whether a provider accepted or rejected a message. It does not necessarily prove that a person received, read or acted on it. For invitations, track task completion separately from delivery status. Agree which events the application can observe and what your team needs to investigate failures.

CRM integrations and other triggers should carry stable record references, appropriate access permissions and only the data needed for the task. Privacy, retention and provider responsibilities need an agreed operating policy.

## Scope a useful first workflow

A few useful answers before you decide.

Bring one message you currently send, the event that prompts it and the action you expect from the recipient. Show us how staff send it today.

We can then scope its trigger, approved wording, recipient selection, stopping condition and failure route. Include ordinary exceptions in that first review: a completed task, an incorrect address or a duplicate event. Validate that workflow before adding channels or complex branching, and decide who will check failed messages and maintain the wording.

### Does the solution include every messaging channel?

No. Email, SMS, push and other channels have different provider access, commercial and implementation requirements. Start with the channel your first workflow needs; the proposal will identify the channels and dependencies included in the work.

### Can reminders stop automatically after completion?

Yes, when the application can reliably identify completion. The workflow must recheck that state before sending and handle delayed or duplicate events. If completion is recorded elsewhere, we first need to establish how the messaging workflow will receive that information.
