When several customers, divisions or business units use one platform, start by deciding what each one owns and manages. A tenant might be a customer organisation, an operating division or a separately administered workspace. That choice affects who can invite people, change settings and see records.

We help turn those operating boundaries into a shared application: authentication, tenant provisioning, configurable workflows, central administration and role-specific dashboards. Bring examples of where your teams work alike and where they need different rules. Those differences help us decide what should be configurable.

Logical isolation and separate infrastructure are different choices

Logical isolation keeps tenant boundaries within a shared application or data environment. Separate infrastructure adds a deployment boundary, along with its own provisioning, maintenance and operating responsibilities. Application permissions still need to work correctly in either arrangement.

We compare the options against your contractual separation, data residency, recovery, cost and administration needs. Bring any customer requirements that affect this choice early: they can change both the design and the estimate. Dedicated infrastructure for every tenant would need to be included in the agreed scope.

Model roles together with organisational scope

A role describes what someone may do; their tenant and hierarchy assignment determine where they may do it. For example, a regional reviewer might approve submissions from several branches, while a local contributor can edit only their branch’s submissions. A central administrator’s ability to configure workspaces need not include access to every submission.

We use examples like these to define permissions before building screens. The checks need to cover record requests, exports and administrative actions, including attempts to access another tenant’s records. A dashboard that hides a record is only one part of that work.

Plan the tenant lifecycle

Provisioning is more than creating an account. Decide who sets up the workspace, imports its initial records and appoints its administrators. Then consider what happens when an administrator leaves, access is suspended, or a customer needs an export before closing their tenant.

Workflow changes need similar care. If one business unit adds a review step, should existing submissions keep their original process? Traceable configuration and audit trails help teams investigate changes. Maintenance planning should include regression tests across representative tenant configurations, so a change for one workflow is checked against others too.

Start with a boundary workshop

A few useful answers before you decide.

Bring an organisation chart, a sample workflow and examples of the records each role should see. We can map one tenant’s lifecycle and walk through one task per role, including any exceptional central access and how it should be authorised. This gives us concrete tasks to estimate and a basis for deciding what to deliver first.

Can each business unit use different workflows?
Yes, configurable workflows can be included in the scope. We first define which differences you need—for example, an extra approval step—and who can change them. A controlled set of options is easier to maintain and test than undocumented changes for each tenant.
Does one login give central staff access to all customer data?
Only if that scope is explicitly authorised. We work through which central staff need access, to which records and for which tasks. Support access should be designed and audited, rather than granted simply because someone has an administrator label.
