Shopify Accounting Integration Development
Plan Shopify order, payment and refund integration with your accounting environment, covering matching, tax fields, reconciliation and recovery.
Let’s talkMake the accounting handover reconcile
Your finance team needs to trace the numbers in its accounts back to an order, payment or refund. These represent different business events, so we start by agreeing what each should create or update in your accounting environment.
Bring the exact accounting product and edition, your store structure and anonymised orders that take time to reconcile. We check Shopify access and interface limits before confirming support. An existing connector may cover your rules; custom development needs a clear job, such as handling an exception the connector cannot cover.
Every handover needs a way back.
An illustrative planning pattern. Your actual systems and rules determine the implementation.
Normal delivery
- Store order event
- Validate & match
- Accounting document
- Reconciliation
Keep the source reference and make the receiving result visible.
When something fails
- Keep the original event
- Show a pending state
- Retry the same reference
- Review the exception
A lost acknowledgement must not silently become a duplicate record. Assign recovery to an authorised owner.
A useful first implementation
Start with one store, one receiving company and one currency for the pilot. With your finance reviewer, we agree when an order is ready for accounting, how to match an existing customer and which system supplies tax categories. Map discounts, shipping and payment references explicitly. A refund should follow a defined credit and reconciliation process rather than delete the original order.
For example, take an order with two items, a discount and shipping, then refund just one item. The review needs to establish how much of the discount belongs to that item, whether shipping is refunded and how the credit links back to the original document. Working through that example before development helps expose rules that a simple paid-order test would miss.
| Example event | What the finance reviewer checks |
|---|---|
| Paid order | Correct customer, line amounts, tax, shipping and source reference |
| Partial refund | Original document link and correct reversal amounts |
| Repeated notification | Existing destination reference; no duplicate document |
| Receiving API unavailable | Pending status, bounded retry and visible recovery |
| Payout received | Payment fees and settlement reconcile separately from order revenue |
These are proposed checks, not a claim of a delivered Shopify connector. Agree which events and records are included, and who investigates exceptions such as an unmatched customer or a payment difference.
Estimate the build and ongoing operation separately
The published labour rate is R850/hour excluding VAT. A hypothetical 48-hour allocation gives R40,800 in labour, before platform fees, hosting and tax. It does not establish the hours your integration will require. Allow separately for monitoring, credentials renewal, platform changes and reconciliation support. Include time for someone to check pending items and investigate reconciliation differences after the initial build.
