WooCommerce & Sage Integration Development

Scope a WooCommerce-to-Sage connection around your exact Sage edition, orders, stock, refunds and reconciliation, with explicit compatibility checks.

Let’s talk

Connect the order to the right accounting record

If your team is copying WooCommerce orders into Sage, the first question is what accounting record each order should become. We help you work through that handover before deciding how to build the connection. The exact Sage product, edition, version and available interface must be reviewed first. Sage Business Cloud Accounting, Sage 50/Pastel and Sage 200 are different environments; a connection to one does not establish support for another.

Bring the exact Sage product details and an example of how you currently enter an online sale. We can then assess custom integration work alongside a maintained commercial connector, where one meets the requirements. Webvelopment does not advertise an existing universal Sage connector.

The connection, made visible

Every handover needs a way back.

An illustrative planning pattern. Your actual systems and rules determine the implementation.

Normal delivery

  1. Store order event
  2. Validate & match
  3. Accounting document
  4. Reconciliation

Keep the source reference and make the receiving result visible.

When something fails

  1. Keep the original event
  2. Show a pending state
  3. Retry the same reference
  4. Review the exception

A lost acknowledgement must not silently become a duplicate record. Assign recovery to an authorised owner.

Decide which system owns each record

WorkflowDecision before implementation
OrdersWhich paid or approved event creates a sales order or invoice?
CustomersHow are guest orders and existing account customers matched?
ProductsWhich system owns SKU, price and tax category?
StockWhich location supplies availability, in which direction and how often?
Discounts and shippingHow do order-level and line-level adjustments reconcile?
RefundsDoes the event need a credit note, payment reversal or operator review?
DuplicatesWhich stable order/event reference prevents another accounting record?

These decisions need input from the person who runs the store and the person who reconciles the accounts. For example, an order marked paid might be the agreed trigger for an invoice, while an order awaiting payment stays out of that flow. That choice should be clear before any records move.

Stock needs its own decision: which location supplies the quantity, and how old can that quantity be before it becomes misleading? A storefront should not advertise live stock if the source and update interval cannot support that promise. We recommend starting with one direction and a limited set of records before adding two-way synchronisation.

Prove the exceptions before expanding

A pilot should reconcile one ordinary order, a discounted order, a refund and a receiving-system outage. Use examples that your accounts team can check against the expected sales, shipping, discount and payment entries. Keep the original transaction reference and a visible status for partial completion. Replaying an unchanged event must not create another invoice.

For example, a partial refund on an order with shipping raises a practical question: which amounts should be credited, and which should remain on the original sale? Agree the expected accounting treatment with your accounts team, then include that example in the pilot. If an order cannot finish transferring, the person reviewing it needs to see what succeeded and whether the next step is a retry or a correction.

The e-commerce accounting guide explains these record boundaries. Our accounting integration overview covers the wider service. Neither is represented as a client-specific Sage implementation.

Cost and the first engagement

A few useful answers before you decide.

Plan labour at R850/hour excluding VAT. An assumed 40-hour allocation is R34,000 before supplier charges and tax; it is a budgeting illustration, not an approved connector price. Discovery, implementation and monthly monitoring need separate allowances. The number of record types and exceptions matters alongside order volume: moving paid orders in one direction is a different scope from also updating stock and handling refunds. Prepare an integration scope with the exact products, record volumes, field requirements and authorised sandbox arrangements.

Ask us to assess your WooCommerce and Sage environment. Send the product and edition names, the event that should create the accounting record and a list of fields you currently copy by hand. Identify who can reconcile the test results, too; their expected entries give us a concrete way to check the pilot.

Which Sage editions do you support?
We check compatibility for each project using the exact product, version, API or approved integration interface and licence conditions. Please include those details when you enquire, even if another business already connects WooCommerce to a product called Sage. No Sage edition is currently advertised here as a pre-verified Webvelopment connector.
