## Give the design a job and a destination

What should someone notice first: a service, an offer or the next step? We scope digital, presentation and campaign assets for South African businesses around the message and where each piece will appear.

Bring a list of the places you need the design to work. A brochure, presentation slide and campaign image may share a visual direction, but each needs its own balance of text and imagery. We use your approved brand and content to define the assets required. A campaign graphics request can work within an existing identity; a complete brand identity project is a separate scope.

If the work is going to print or another production supplier, include its specifications in the brief.

## Prepare the material and the rights

Send us your approved wording, logo files, brand guidance and available images. Point out any gaps: perhaps the logo is only available as a small image, or the brochure text is still being rewritten. Those details affect what can be designed from the material you have and what needs separate attention.

Confirm permission to use photographs, illustrations and third-party marks. If the design needs new imagery, we discuss production or licensing before building a concept around it.

The deliverable list can include concepts, an agreed visual direction, asset variations and final exports. Decide early whether you also need source files, an editable template or print preparation. These serve different purposes: an export is ready for its destination, while an editable file lets someone change the design in suitable software. Font licences and other third-party conditions still apply. Printing, photography, video and a wider identity programme are separately scoped.

## Review in the context of use

Review the design where it will be used, at its intended size. On a small campaign image, can you read the main message without enlarging it? In a brochure, can you follow the headings and find the contact details? Check contrast, cropping and the order in which information catches your eye. A polished full-screen preview can hide these problems.

Choose someone who can confirm the wording and gather feedback from your team. If the service name needs to stand out before the photograph, say so; that gives us a clear design problem to solve. Agree which concept will move forward, the revisions included and the formats to check before completion. Additional versions can be scoped when you know what they need to do.

## Create an approval-ready asset schedule

- Name each asset, its audience and its destination: for example, a brochure PDF for email or a graphic for a presentation.

- List the required dimensions, file formats and content variations. Ask the print or production supplier for its specifications where relevant.

- Identify the approved copy, images and brand files, along with anything still missing and who can approve the brand application.

- Say whether staff need an editable template, which tools they use and which text or images they expect to change.

A list of named assets is easier to price and review than a request for “some campaign graphics”.

## Common questions

A few useful answers before you decide.

### Can you work with our existing brand?

Yes, subject to the available assets and guidance. Send the logo files, colours, fonts and examples of current material you want us to follow. We can identify missing pieces and discuss whether they need a small design decision or a wider identity brief.

### Will we receive editable files?

That depends on the agreed deliverables and any third-party licences. Tell us what you want to change later and which software your team uses. Updating brochure prices calls for a different editing setup from replacing a photograph in a campaign template. Agree the file formats and intended use before production begins.

## Review a practical asset set for the business

For example, imagine a South African company introducing a service through a brochure, a presentation graphic and campaign images. The approved message is the same, but copying the brochure layout into every format would make the smaller pieces crowded.

The brochure can explain the service in detail. The presentation graphic needs to support what the speaker is saying. A small campaign image may need only the service name, one clear benefit from the approved copy and a next step. Choosing that emphasis is part of the design work; it should not depend on shrinking every line until it fits.

The asset list should name each version and its content. If one campaign image has a longer heading, review that version too: it may need a different line break or crop. For print, use the supplier’s requirements when preparing files. For staff-edited templates, try a realistic text or image replacement to see whether the layout still works.

## More questions for a local design project

A few useful answers before you decide.

### Can we keep our existing logo and colours?

Yes, if they remain appropriate and usable for the intended work. Assess available files and guidelines before assuming a wider identity change is necessary. If the assets are incomplete, identify the practical gap and scope the response. A campaign design request should not silently become a full rebranding programme.

### How should the asset list be specified?

Name each destination, format, content variation and intended editing use. For a campaign image, say whether you need the same wording in several sizes or different messages in each version. Confirm who supplies final dimensions or production requirements. “Social media pack” alone leaves both the quantity and the adaptation work unclear.

### Can staff update a template after handover?

That can be planned around their tools and editing ability. Tell us what staff will replace most often: a heading, price, photograph or contact detail. Agree which parts should be editable and which third-party assets remain restricted. Try a typical update during review, including a longer heading or differently shaped image, so you can see where the template needs limits or guidance.

### What happens when the approved copy changes?

Let us know which wording has changed and where it appears. Correcting a phone number may be straightforward; adding a paragraph can change the layout, page balance and smaller adaptations. We assess the effect on the agreed work before continuing. A new message or extra asset may need additional scope, even when it uses the selected visual direction.

### Does design include dealing with a print supplier?

Only if that responsibility is agreed. Preparing a print file, communicating with the supplier and reviewing a proof are separate tasks. Share the supplier requirements early and agree who will approve the physical result. If you arrange printing directly, make sure it is clear who checks the supplier’s proof and authorises production.

### How do we make sure imagery does not mislead?

Review the source, rights and context. An image should not imply a client endorsement, office, certification or product result that has not been verified. Use genuine material or clearly appropriate illustration. The business needs to approve factual associations as well as the visual style before an asset is published.

## Prepare your next conversation

Share your asset list, current brand files and the message each piece needs to carry. Include any print supplier requirements and examples of what staff need to edit later. We can use those details to define the design work and final files you need.
